Mahjong CRM — a portal for riichi mahjong clubs and federations

Mahjong CRM is the working part of the Kōkasoku portal of the Eurasian Riichi Mahjong Association. Clubs keep their roster and equipment there, organisers run tournaments with online registration, and country federations submit tournaments to the EMA, assign EMA numbers and send news through a Telegram bot. The portal works in Armenia, Georgia, Serbia, Montenegro, Kyrgyzstan, Bulgaria, Uzbekistan and Azerbaijan.

Clubs

  • Club roster: head, deputies, players and internal tags (“other city”, “moved away”).
  • Club ratings from Pantheon sync every day; new players get a card on the portal automatically.
  • A public club page: description, social links, logo, upcoming and past tournaments, stats.
  • Equipment: who has which sets and mats, photos, the owner's contact.

Tournaments

  • Creating a tournament: draft → approval by the country representative → publishing. Hidden listing until a chosen date.
  • Online registration: contacts, photo and video consent, “confirmed”, “paid” and “attended” marks.
  • Participants' Pantheon nicks in one click and a check of who is already in the Pantheon event.
  • Tournament results and the Kōkasoku player rating.

EMA

  • The EMA application (MERS form) with automatic checks: the 12-week deadline, the country's yearly limit, the foreign-player quota, clashes with the EMA calendar. Word and PDF export.
  • The results report in the EMA template (Excel) and the observer report (Word).
  • EMA numbers: the country's next free number in one click and a log of who assigned it, when and why.
  • EMA quotas: the country's seat forecast for the European and World championships and what the next seat takes.

Reaching players

  • Telegram bot: signing in, notifying organisers about new registrations, players subscribing to tournament announcements.
  • Messages to a country or to a tournament's participants with delivery tracking and a “✅ Got it” button.

Country federations

  • The country page: clubs, players, tournaments, rating, representatives.
  • Player cards: names in Cyrillic and Latin, contacts, EMA number, nicks.
  • A change log of player cards: who changed what and when.
  • AI assistant (MCP, beta): working with the portal from an AI chat — tournaments, players, reports.

Kōkasoku and Pantheon

Kōkasoku is the association's own portal, not an add-on to Pantheon. Pantheon is a game-recording system where clubs run rating events and do the seating.

Kōkasoku takes club ratings and player nicks from Pantheon and brings together what Pantheon does not have: clubs and countries, tournaments with registration, the EMA, Telegram messages and player cards with Mahjong Soul and Tenhou.

Not there yet

  • Online payments — registrations only have a “paid” mark.
  • A waiting list when there are fewer seats than players.
  • Table booking, memberships and membership fees.
  • Seating on the portal — it is done in Pantheon.

Questions and answers

What is Kōkasoku Mahjong CRM?

The working part of the Kōkasoku portal for clubs, tournament organisers and country federations: club roster, equipment, tournaments with online registration, EMA applications and reports, EMA numbers and messages through a Telegram bot.

Is Kōkasoku built on Pantheon?

No. Kōkasoku is a separate portal. It takes club ratings and player nicks from Pantheon, while clubs do the seating and game recording in Pantheon.

Can we message players?

Yes. Through the @riichi_kokasokubot Telegram bot: messages to a country or a tournament's participants with delivery tracking, notifications to organisers about new registrations, and players' subscriptions to tournament announcements.

Can we take payments through the portal?

Not yet. Registrations have a “paid” mark; the money itself is collected as usual — on site or by transfer.

Does the portal help submit a tournament to the EMA?

Yes. It fills in the MERS application and checks the deadline, the country's yearly limit and clashes with the EMA calendar, and after the event it prepares the results report and the observer report in the EMA templates.

How does a club join?

Register the club on the “Club registration” page. Once the country representative approves it, the club head gets access to the club's Mahjong CRM.

Where is the data stored?

On servers outside Russia. The site has no Russian trackers or services; visits are counted only by Google Analytics.
